For ordinary job-search drafting or practice, keep identity documents, children's information, family records, reference contact lists and account credentials out of the AI chat. Those materials are not necessary to improve a sentence or rehearse an interview answer. Build a smaller practice input instead of uploading the file that happens to contain everything.
This is an editorial rule for preparing job-search material, not a statement that every AI service has identical policies. A requested document should go through the verified process for its intended recipient. The fact that an agency needs an item does not mean a separate writing tool needs it too.
Start with the purpose of the prompt
Write down the exact task: shorten an experience paragraph, ask practice questions, or help organize a comparison. Then ask which facts the tool genuinely needs for that task. Usually the useful information concerns your work, not the identities of the people involved.
If you want help explaining school pickups, the model does not need a child's name, school address or actual weekly route. If you want to practice discussing references, it does not need the referees' phone numbers or private correspondence.
Use a new, deliberately limited text file for the exercise. Copying a complete application and deleting a few obvious names can leave more information than you intended. Preparing a fresh brief forces you to choose what belongs there.
Do not begin by asking the tool to decide which parts of a sensitive document are safe. That approach sends the document before you have made the decision you were trying to make.
Keep these materials outside ordinary AI drafting
Use this original NAJ exclusion checklist before adding any attachment or pasted text:
- Identity, immigration, tax, banking or screening documents and their numbers.
- Children's names, photographs, medical details, school information or detailed routines.
- Family addresses, travel plans, security arrangements or private household correspondence.
- Reference names and contact details, reference letters and confidential recruiter notes.
- Passwords, access codes, account recovery information or links that grant private access.
A category can be unnecessary even when the information belongs to you. Your own document may contain identifiers that contribute nothing to the writing task. Information about someone else requires particular care because it is not simply yours to repurpose.
If a task appears to require one of these materials, pause and reconsider the workflow. You may be able to ask a general question without providing the underlying document. For a required agency submission, confirm the intended recipient and channel separately.
Replace the file with a coarse practice brief
Include only the facts needed for the exercise, stated in general terms. “Experience supporting school-age children in an afternoon role” may be sufficient to generate rehearsal questions. Exact family schedules and recognizable incidents are unnecessary for that purpose.
Changing a name alone is not a promise of anonymity. A combination of location, unusual events, ages and dates may still make an account recognizable. Remove irrelevant detail rather than relying on a fictional name to make the rest harmless.
Use invented material when you are testing a writing technique. Label it fictional and keep it separate from the factual notes you will use for your real application. A practice paragraph can illustrate structure without becoming part of your employment history.
If you need factual résumé editing, preserve the relevant meaning while withholding unnecessary identities. Keep the full checking record privately outside the tool. Review every final claim against that record before using it.
Understand settings without treating them as permission
Check the current policy and settings of the service you intend to use. Distinguish whether information is retained, whether it can be used for model improvement and whether another service receives it. One setting does not answer all three questions.
For example, OpenAI says a temporary ChatGPT conversation may be retained for up to 30 days for safety. Saving it as a regular chat changes the applicable handling. Temporary mode therefore does not mean that no copy exists. OpenAI: Temporary chat in ChatGPT
Use settings as one part of the decision, after minimizing the input. A favorable setting does not make a child's health record necessary for a résumé edit. Nor does it establish permission to share a former employer's private material.
Check the current documentation rather than relying on an old screenshot or another user's account configuration. If you cannot establish what will happen to the input, keep the exercise to fictional or non-sensitive material.
Walk through a fictional input reduction
Original fictional example: Avery wants help preparing for a question about coordinating with parents. Avery's first idea is to upload a real handover document. It contains names, school details, travel dates and comments about a child.
Avery leaves that document outside the tool. Instead, Avery writes: “Fictional practice context: a nanny follows a shared afternoon plan and needs to explain how schedule changes are communicated. Ask one interview practice question about that responsibility. Do not invent an employment history.”
The resulting exercise can help Avery practice explaining a process. Avery later answers from genuine experience in private notes, without copying the fictional material into an application as fact.
For a résumé edit, Avery would use a different brief containing a minimal, truthful description of the relevant duty. The choice depends on the task: fictional context for rehearsal structure, carefully limited real facts for factual editing.
Make the upload decision before pressing send
Use a final inspection of the actual input, including attachments, pasted text and any linked material. Ask whether each included detail changes the usefulness of the requested task. Remove details that merely make the story richer or more recognizable.
If you have already shared something you did not intend to share, stop adding information and consult the service's current deletion and support instructions. Do not assume that starting a new chat or removing a local file reverses the earlier submission. Where another person's information is involved, consider the appropriate responsible contact for the situation.
For the next exercise, keep a reusable blank brief with fields for task, permitted facts, excluded details and output requested. The safest ordinary drafting habit is simple: decide what the tool needs before giving it anything.
